Digital tools streamline legal workflows, but integration is key to avoid complexity. Electronic certified letters offer legal validity and efficiency when properly embedded in existing systems.
Digital integration in legal workflows
Digital services integrated into business software help manage sensitive exchanges more effectively by limiting re-entry and tracking operations, according to reports. These tools aim to create a balance between accessibility and the mastery of exchanges, ensuring that legal professionals can maintain a clear view of their workflows. The complexity of digital tools
Legal professionals have increasingly adopted specialized digital tools to handle specific tasks such as document management, drafting, billing, and archiving. While this specialization has benefits, it can lead to inefficiencies when these tools operate independently, creating fragmented processes and increasing the risk of errors.Manual steps and errors
When digital tools multiply the number of manual steps in a process, the workflow can become more complex. For example, exporting a document, connecting to another platform, entering recipient details, and downloading associated elements can lead to errors like using outdated information or missing follow-up steps. These repeated manual tasks also consume valuable time that could be used for legal analysis.Designing efficient digital journeys
Before implementing digital solutions, legal offices should analyze their current workflows to distinguish necessary controls from outdated paper-based practices. Automating an inefficient process does not improve its relevance. The project must first clarify roles, steps, and the information to be retained for each process.Integrated digital environments
Integration involves making digital services accessible within the existing work environment used by professionals. This allows users to start from the relevant file, retrieve pre-recorded recipient details, and perform actions without repeatedly exporting and re-entering information. This continuity reduces manual tasks while maintaining familiar work habits.Centralized tracking of operations
Integration should not only trigger actions but also allow the tracking of operations and associated elements within the same file. This centralized approach is particularly useful in team-based environments, as it allows multiple team members to access the status of a process without relying on individual messaging. The business software becomes the central hub for managing exchanges.Electronic certified letters in practice
The electronic certified letter (LRE) is a practical example of a sensitive exchange that can be integrated into digital workflows. It is not just an electronic version of a paper letter but also a tool that can be linked to the full processing of a file, including document selection, recipient identification, sending, tracking, and preservation. Its use varies by profession and must be evaluated based on the nature of the process and applicable regulations.Demonstration of integration
During a webinar organized by AR24, the integration of LRE into existing workflows was demonstrated using the Secib platform. From a file, users can select documents, find contacts, prepare and track LREs, all within their usual environment. This approach reduces interface changes and re-entries, while making it easier for team members to access relevant information.Automation with control
Integration can automate repetitive tasks such as retrieving contact details or updating operation statuses. However, it must not obscure the workflow. Maintaining a validation step before sending ensures professionals can review the document, recipient, and contact details. Automation should support, not replace, necessary human checks and decisions.Adapting to organizational structures
Responsibilities and workflows vary depending on the size and structure of legal firms. Some may have lawyers manage their own communications, while others centralize these tasks. Integration must accommodate these differences, including access rights, prior validations, and shared access to file information.Gradual digital transformation
A dematerialization project does not need to transform all processes at once. Starting with a frequent and complex operation allows firms to measure results and manage the transition more easily. Involving users from the beginning ensures the tool's effectiveness and helps identify practical challenges during implementation.Legal value of the LRE
The Electronic Certified Letter (LRE) holds the same legal value as a paper certified letter, provided it meets the requirements of Article 44 of the eIDAS regulation. It proves the identity of the sender and recipient, the integrity of the content, and the time and date of the sending. AR24 is a qualified provider of LREs in France, and lawyers can use their RPVA key to authenticate their identity when sending an LRE.
