Docmail, a cloud-based email and mail service used by high-profile businesses and public-sector organizations, including some NHS trusts, has been offline for five days due to a server issue. The service is widely used by UK medical practices, with around three in four using Docsign, a related platform, to share important letters. Docmail allows customers to upload communications digitally, after which the service handles printing and postage to recipients. The parent company, CFH, states that more than 75% of UK medical practices use its services for sending bulk and individual patient mail, including GPs, dentists, pharmacies, opticians, and other private-sector firms. The outage, now in its fifth day, has led to delays or missed healthcare appointment letters, council correspondence, and other important mail. Docmail initially reported "slower than usual processing times" on September 2 before taking the service offline for "essential maintenance." On September 4, the company told The Register that an issue was impacting an isolated server used by only one client. CFH intentionally shut down the wider platform to investigate the incident, though the exact cause of the problem remains undisclosed. A company spokesperson explained that the process of resolving the issue takes time and that the company is following the advice of external consultants to ensure proper precautions are taken. According to CFH, the Docmail service itself is ready to be restored, but external reviewers are still conducting their investigation. The company's status page, which has not been updated since September 4, still labels the outage as an "unresolved incident." CFH stated that work on resolving the issue remains a priority, and the company will provide further updates as soon as more information becomes available. The prolonged downtime has raised concerns about the reliability of the service, particularly given its critical role in healthcare and public-sector communications.
