Google has launched a new AI-powered feature called "Organize My Files" to help users manage their content more efficiently in Google Drive. This tool uses Google's Gemini AI model to provide suggestions for organizing files based on the user's preferred structure and strategies. The feature was first tested last fall and has since been rolled out to Google Workspace users starting in June. It is designed to streamline file management by offering tailored recommendations for moving and categorizing files.
To access "Organize My Files," users must have a Google AI Pro or AI Ultra subscription. These subscriptions are not available for free accounts and cost $20 per month. In addition to the organizing tool, the AI Pro subscription includes benefits like 5TB of storage and a YouTube Premium Lite subscription. The feature is also available for Business, Enterprise, and Education customers, though it can only be used for private folders, not shared files or workplace accounts.
Before using the feature, users need to ensure that "Smart features" are enabled in Google Workspace. This setting is usually active by default in most regions where Workspace is available. To check, users can access Gmail settings by clicking the gear icon, selecting "See all settings," and looking under the General tab for "Manage Workspace smart feature settings."
Once Smart features are enabled, users can access the tool by opening Google Drive on the web, selecting "My Drive," and clicking "Suggest file moves" at the top of the interface. Gemini will then generate suggestions for organizing files, which users can review and approve using checkboxes. The AI may also recommend creating new folders to store files, and users can preview suggested files by hovering over them. However, Gemini does not rename files or read document content to make suggestions, so the tool's effectiveness relies on consistent naming and organization. If users have many untitled documents, they may need to name them first to get the best results from the feature.
